Vendor invoices coded to the right property
Landscaping, utility and work-order invoices drafted with the property, GL account, fund and approval flag your AP team would have entered.
See the AP automation pageBoard packets
Each association's monthly package: variance notes, reserve activity and the paid-invoice backup the treasurer asks for, drafted for the community manager to check. The delinquency report stays with your team.
See the board packet pageOwner statements
Month-end notes for rental owners: which repairs ran over budget, which bills passed the repair limit, what work is still open. Rent figures keep coming from your system.

A newly signed association or a bought portfolio mapped into your setup: the prior manager's vendors, chart of accounts, budgets and open bills. Tenant and homeowner ledgers move by your team's hand.

Every posted bill is already an answer key
The documents already pile up at one desk. An AP clerk at a management company sees the same invoices every week: landscaping, pest control, pool and elevator contracts, utility bills for common areas and vacant units, and repairs from work orders. Your team has already coded each one to a property, a GL account and, for an association, a fund. Those posted bills are what your reviewer checks the drafts against.
A coding mistake moves someone else's money. Every rental property and every association keeps its own books and pays its bills from its own funds. A bill coded to the wrong property is paid with the wrong owner's money, and it tends to surface later, on that owner's statement or in front of a board.
It stays clear of resident data. Vendor invoices name properties and sometimes units, not tenant or homeowner balances. So the first test runs with no resident ledgers: no rent, assessments, payments, late fees or collections.
The rest of month-end is built on coded bills. Board packets and owner statements both start from bills that are already coded right, which is why they rank next. Each one leaves its resident-level pages to your team: the delinquency report, the rent lines.
More acquired doors are coming. Roland Berger's July 2026 note on residential property management called private equity interest growing but still relatively early, and said many of the companies buyers look at still run accounting and reporting by hand. Each deal brings another company's vendors, chart of accounts and open bills, often in a different system.

Three steps, one job
- Step 01
The proof of concept
We call it the sandbox. You pick 20 to 30 bills your AP desk has already entered, the NDA is signed, and AI codes copies of them without a login to AppFolio, Yardi or your bank accounts. Where policy keeps invoices in-house, we make look-alikes together.
- Step 02
Your reviewer decides
First the owner picks the reviewer, usually the AP lead or the association accountant. Success criteria are written down and a price range is agreed. Then your reviewer holds each draft up against what your team actually posted.
- Step 03
A month live, bill by bill
Once your reviewer says yes, new invoices go through this one job for about 30 days. Every bill waits for a person's approval before it posts, and owners and boards keep approving what they approve today.
Priced job by job. Expect a range up front and a fixed number before signing.
You hear the range from Rob during the call. It depends mostly on your monthly invoice count and how many properties and associations those invoices spread across.
