// Rental property management · One job
Owner statements, packaged with invoice backup for your accountant to check.
One month-end job for rental property managers. AI assembles each owner's package from your system's reports: income and expense detail, the management fee, reserves held and the distribution, with paid invoices attached and notes written. Your accountant checks every draft first.

// The one job
Month-end comes. Each owner's package is drafted.
Once rent posts and the month's bills are paid, your system can print an owner statement. The package an owner opens takes more: often a twelve-month income statement, the invoice behind each repair, and a few lines on why the distribution dropped and what work is still open. For an owner with many doors, your accountant reads that stack page by page.
For the test, AI builds that package from copies of the reports and bills behind statements you already sent. It drafts the package: the statement as printed, backup for every bill paid in the period, notes on repairs over budget or past the owner's repair limit, open work orders, and a check that fee, reserve and distribution add up. We call this step the sandbox. No owner sees a draft.

// What makes it hard
Where owner statements go wrong
The distribution is more than rent minus bills. It starts from cash collected, takes out bills paid, the management fee and any leasing or renewal fee, and holds back the reserve the agreement sets. Buildium's guide to owner distributions adds minimum cash balances, owner contributions and chargebacks, and notes that an approved bill not yet paid can be held back now or deducted next month. The draft rebuilds the distribution from those parts and flags any statement where they don't add up.
The fee follows the cash. The management fee is usually charged on rent collected, not rent billed, so a late payment carries its fee into the next month. Some agreements add a flat fee, a maintenance markup or an inspection charge. The draft checks the fee against each owner's terms and the collected figure your system reports. It never writes or changes a rent line.
The statement has to agree with the trust account. Owner money sits in a trust account, and each statement's ending cash should match that owner's ledger. California's Department of Real Estate, in Regulation 2831.2, requires a broker to reconcile each owner's separate record against the record of all trust funds received and paid out at least monthly. A statement that doesn't tie is a reconciliation problem, not a formatting one, so the draft stops and flags it.
Backup goes by payment date. Owner statements are often kept on a cash basis, so backup follows the bills paid in the period, not the bills entered. An invoice keyed on the 28th and paid on the 3rd belongs in next month's package. A property held by two owners splits the distribution by ownership share, and the draft keeps that split the way your system does.
Year end reads the same numbers. IRS instructions say a property manager must use Form 1099-MISC to report the rent paid over to the property owner, and the owner's preparer reports expenses on Schedule E lines such as cleaning and maintenance, repairs, supplies, utilities and management fees. The expense accounts on each monthly package matter long after the month.
// What you send
What we need from your owner accounting team
20 to 30 sent packages
Owner packages your team already sent, for a mix of owners: a single home, a small building, someone with several properties. Include a month with a negative balance.
Reports and bills behind them
Exports for the same months: owner statements, property ledgers, and the paid bills with their invoice images.
Each owner's terms
From each sampled management agreement: fee terms, the reserve to hold, the repair limit and the distribution schedule.
NDA, then tenant names out
Both sides sign the NDA first. Tenant names and ledgers come out; rent lines stay as printed. If nothing may leave your office, we build look-alikes together.

A live month-end, each package approved
When your reviewer agrees, the job runs on live month-end for about 30 days, for the owners you pick.
Every package waits for your accountant to approve it before it reaches an owner or the portal. Your team still releases each distribution on its agreed schedule. No second job starts that month.

// One hard limit
No rent figures or tenant ledgers.
The AI never drafts, edits or estimates rent, tenant charges or payments, security deposits or anything on a tenant's ledger. Rent lines appear exactly as your system printed them. It writes notes, attaches backup and checks the math, and your accountant sees every package first.
Priced on its own. You get a range before the proof of concept and a fixed price before you sign.
Your range depends on how many owner packages go out each month and how many properties a typical owner holds. Rob sets it on the call.

Owner statement questions
Our system already prints owner statements. Why add this?
Which property management systems does it work with?
Will the AI decide how much an owner gets paid?
Does this cover 1099s at year end?
