// HOA and condo management · One job
HOA board packets, drafted from your books for the community manager to check.
One month-end job for community association management companies. AI assembles each association's packet from reports your system already prints, writes the variance notes and matches paid invoices to the register. Your reviewer compares the drafts with packets your managers already sent.

// The one job
The month closes. The packet is drafted.
Once an association's books close, someone pulls the same stack for its board: balance sheet, budget comparison, operating and reserve bank reconciliations, check register, general ledger. A community manager then explains the big variances, totals what moved in and out of reserves, and files each paid invoice behind the register before the treasurer asks.
For the test, AI does that assembly from copies of the reports and invoices behind packets you already delivered. It drafts the packet: reports in each board's order, notes on the lines your threshold catches, a reserve summary, and backup in register order with gaps marked. We call this the sandbox. No board sees a draft.

// What makes it hard
Why a board packet eats a manager's evening
What the board must review. California's Civil Code 5500 has a board review, every month, reconciliations of the operating and reserve accounts, operating actuals against the budget, the bank statements, an income and expense statement for both funds, the check register, the general ledger and the delinquent assessment receivable report. Section 5501 lets each director review alone, or a subcommittee of the treasurer and at least one other director, ratified at the next board meeting. Other states and governing documents differ, so the draft follows each board's own list.
Variance notes. A budget comparison usually shows the month and the year to date, each with actual, budget and variance. Most management companies set a threshold, and each note has to give the reason: a water bill that covered two billing periods, an annual premium that landed in one month, a repair the board approved last meeting. The draft writes notes from the general ledger detail and the invoices, and marks any variance it can't explain instead of guessing.
Reserve activity. The reserve page runs from the opening balance, adds the transfer in from operating and the interest earned, which normally stays in reserves, and subtracts spending by component. When a reserve project was paid from the operating account, a due-to and due-from balance sits between the funds until it is cleared, and the packet should show it. California's Civil Code 5515 allows a temporary transfer from reserves to operating only after a meeting notice, with a written finding in the minutes and repayment within one year, so that transfer gets its own line.
Backup against the register. Treasurers want the invoice behind each check and electronic payment. The draft pairs every disbursement with its invoice and approval and lists what doesn't match: a payment with no invoice, an invoice paid twice, a card statement with no receipts, a vendor paid from the wrong association's account. It never rules on whether a payment was proper.
Every board wants its own packet. AppFolio lists board member packets among its community association reports, and other systems print similar bundles. The notes, the reserve summary, the backup check and the cover memo are still left to your staff. Section order, fiscal year and threshold are set per association.
// What you send
What we need from your association accounting team
20 to 30 delivered packets
Packets your managers already sent, across a few associations and months, as the boards got them. Include a month with a reserve project or a missing invoice.
The reports behind them
The exported budget comparison, ledger, register, bank reconciliations and statements for those months, plus the paid invoices.
Each board's rules
Section order, your variance threshold, the cover memo format, and the component list from each latest reserve study.
NDA first, delinquency pages out
Both sides sign the NDA before a page moves. Remove the delinquency report and homeowner names, or build look-alike packets with us.
// Before it starts
Settled before the first packet is drafted
The owner of your management company decides these in writing before any packet leaves the office.

// After a yes
One live month-end, every packet checked
With your reviewer's yes, the job runs on live month-end for about 30 days, for the associations you choose.
Each draft waits for a community manager to check and release it. Your team still adds the delinquency report and delivers the packet the way each board gets it now. No other job starts that month.
// Later, ranked
Where board packets lead
- 01Next
Annual budget drafts
Next year's operating budget and reserve contribution drafted from this year's actuals and the reserve study.
- 02Then
Lender questionnaires
Lenders' condo and HOA questionnaires answered from budget, insurance and reserve records, delinquency answers left to your staff.
- 03After that
Management transitions
A newly signed association's handover files turned into setup sheets, so its first packet goes out on schedule.
// One hard limit
No delinquency report.
The AI never reads, drafts or sums up a homeowner's account: no delinquency or aged receivable reports, collection status, payment plans or liens. The balance sheet's receivable total appears only as your system printed it, and your team adds the delinquency pages.
Priced on its own. You get a range before the proof of concept and a fixed price before you sign.
The range depends mostly on how many associations close each month and how long a typical packet runs. Rob gives it on the call.
