Landscaping, janitorial and maintenance

// For facility services companies

AI for facility services, tested on work you already billed.

For commercial landscaping, janitorial and facility maintenance companies. Start with one job: billing finished work orders from the crew's paperwork, with contract work and extra work kept apart. The free proof of concept runs on 20 to 30 jobs your office has already invoiced, and nobody logs in to a customer portal or your own software.

// Why billing first

Every finished job already left a paper trail

A finished job leaves a work order, a signed ticket or a portal check-out, the crew's hours, and usually photos. Someone in the office turns that into an invoice the customer will pay. Copies of old jobs come with the invoice that actually went out, and sometimes with the rejection that came back. That gives your reviewer, whoever in your office knows this billing best, an answer to check every draft against.

The contract amount is rarely the problem. A monthly maintenance or cleaning contract bills on its schedule whatever the crew did that week. The paperwork matters for everything outside it: enhancements, repairs, floor care, storm cleanup, an after-hours call. Those lines each need the right proof, the right rate and the customer's own reference number before they get paid.

Multi-site customers, and the facilities management companies that hire local crews, often dispatch through portals such as ServiceChannel and CorrigoPro. Each work order carries its own number and a not-to-exceed amount, and the invoice is judged against both. A draft that ignores those rules gets sent back, however good the work was.

The trade is also consolidating. KPMG's fall 2025 facilities services update calls landscaping highly fragmented and puts private equity behind most of the sector's 2025 deal volume through the end of August. A company that buys others inherits their billing setup, their software and their customers' portals, and the billing desk is where those differences meet.

// How a proof of concept runs

From old paperwork to a decision

  1. Step 01

    The proof of concept

    After the NDA, copies of 20 to 30 invoiced jobs come over with the work orders, tickets and photos behind them. Nothing connects to your software or any customer portal. If paperwork has to stay in the office, we build look-alikes with whoever runs billing.

  2. Step 02

    Your reviewer decides

    The owner picks the reviewer up front. Success criteria and a price range for running it live are agreed in writing, and then the reviewer sets every draft against the invoice that really went out.

  3. Step 03

    Live, once approved

    Roughly 30 days on newly closed work orders, with every invoice signed off by someone on your team first.

Each job here is quoted separately: a range up front, and a fixed price you see before anything is signed.

Two numbers shape the range: work orders closed per month, and how many customers you invoice through a portal. Rob gives it on the call.

// Questions

Facility services questions

Do you log in to ServiceChannel, CorrigoPro or other customer portals?
No. The proof of concept works only from copies and exports you send. Portals matter when planning a live run, and even then a person on your team submits or approves each invoice.
Our crews' paperwork is handwritten. Does that still work?
Include it. Photographed or scanned tickets and sign-off sheets are part of a fair test. Where a ticket or a signature can't be read, the draft says so instead of guessing, and your reviewer sees how often that happened.
Which software do we need?
None for the proof of concept. Whether you run Aspire, LMN, WinTeam, QuickBooks or spreadsheets, exports and PDFs are enough. Your software matters only when planning the live run.
We do both landscaping and janitorial. Can one test cover both?
Yes, if one billing team handles both. Pick 20 to 30 jobs that match your real mix of divisions and customers, so the test reflects the desk as it is.
Can we start with subcontractor invoices or quotes instead?
Yes. Bring the job you would hand off first to the call. We lead with billing because every old job already has an invoice to check the draft against.
