Freight billing from the load paperwork
The rate confirmation, BOL and signed POD for each delivered load, matched to the load in your TMS and drafted into billing, with every accessorial tied to its receipt.

Each carrier's invoice compared with its rate confirmation, the POD and the accessorials you approved, with the payee checked against a notice of assignment when the carrier factors.

Shipper tenders that arrive as emails, PDFs or spreadsheets, drafted into loads with stops, appointment times and reference numbers for a person to accept.

Shortage and damage notes from the POD, the driver's photos and the original BOL gathered into one file for whoever handles OS&D claims.

Every delivered load leaves the same three documents
A freight office bills from the same three documents on every load: the rate confirmation sent to the carrier, the bill of lading signed at pickup, and the proof of delivery signed at the consignee. That makes billing the easiest place in the business to pull 20 to 30 old examples. They already sit attached to closed loads in your TMS or your shared drive.
Each of those loads also has an answer. Your team billed it, and the invoice shows what they decided: which accessorials went on, which waited for a receipt, which were written off. Your reviewer checks every draft against that invoice, so the test has a right answer before it starts.
It is also where cash waits. A load usually doesn't bill until the paperwork is in and clean, and getting it clean is the work: a POD photographed on a phone in a dark cab, a detention charge with no out time, a lumper fee paid at the dock while the receipt rides around in the truck.
If you broker freight, one load feeds two bills: what the shipper owes you and what you owe the carrier. If you run trucks, it is one invoice to the broker or shipper. The test fits either, and you tell us which on the call.
The paperwork carries company names, addresses, reference numbers and rates. None of it is patient or tax information, which is part of why billing comes before carrier onboarding here: setup packets carry tax forms and insurance certificates, and billing packets don't.

// How the proof of concept runs
Three steps, in this order
- Step 01
Copies of loads you closed
We call this step the sandbox. After the NDA, you send the packets for 20 to 30 loads your team already billed. Nothing logs in to your TMS. If the packets can't leave the office, your reviewer helps us build look-alike loads.
- Step 02
Your reviewer makes the call
Before it starts, the owner names the reviewer, usually whoever runs billing. Together we write down the success criteria, and you get a price range for running billing live. The reviewer then lines our drafts up against the invoices your team sent.
- Step 03
About 30 days live, after a yes
The same job runs on newly delivered loads. A person on your team approves each invoice before it goes to a shipper or posts in your TMS.
Priced per job. A range before the proof of concept, a fixed price before you sign.
You hear the range on the call. It depends on roughly how many loads you bill a week and which TMS the live job would post to. Each later job is priced on its own, and monthly support follows the live run.

Do you need access to our TMS?
We run trucks, we don't broker. Does this still fit?
Our PODs are mostly phone photos. Is that a problem?

Can we start with carrier pay instead of billing?
