// AI for HVAC distributors
AI for HVAC distributors, tested on claims your counter already filed.
For independent HVACR wholesale distributors selling equipment, parts and supplies to contractors. Start where the counter's paperwork backs up: failed parts brought in under warranty, or the records behind refrigerant and equipment sales. A free AI proof of concept runs one of them on copies of 20 to 30 your team already handled, with no login to your ERP or any manufacturer's system. Your reviewer, the person who knows that desk best, decides whether it passed.

Where an HVACR branch's paperwork piles up
Parts warranty claims
Failed parts contractors bring back to the counter, checked against the unit's registration and install date and drafted in each manufacturer's claim format for your warranty clerk.

Refrigerant and equipment sales checked for the buyer's EPA certification, the AIM Act equipment rules and DOE's regional standards, with each record drafted for your compliance lead.

AHRI certificates found for the outdoor unit, coil and furnace a contractor is quoting, so the homeowner's utility rebate form goes in with the right reference number.

Recovery cylinders contractors drop off at the branch, logged by refrigerant and weight for the reclaimer's paperwork.

The factory has already graded every claim you filed
Manufacturers send warranty parts through you. Goodman's published limited warranty for its GSX and GSZ outdoor units tells the homeowner that, to receive a replacement part, a licensed contractor must bring the defective part to a Goodman distributor. ICP's current certificate requires a licensed dealer or contractor to install the unit and do the warranty work, and has defective parts returned to the distributor through a servicing dealer for credit. So the claim starts at your counter, often at the height of cooling season, with a contractor who wants the part now.
That makes warranty an easy job to test fairly. Every claim your desk filed came back credited, cut or denied, so each AI draft can be set beside the claim your clerk wrote and the answer the factory gave. The sample is already sitting in your files, and your reviewer can pick the hard ones: no registration, no install date, a unit installed at a business on a homeowner's warranty.
Compliance comes second because the rules move. This trade's association, HARDI, counts wholesalers, supplier manufacturers and independent manufacturers' representatives among its members, and it went to court over refrigerant rules. In June 2023 the D.C. Circuit, in a case HARDI brought, vacated EPA's QR-code tracking and refillable-cylinder requirements for HFCs, and EPA took them out of the regulations in September 2024. The equipment rules changed again in 2026.
Your branches also carry two generations through the A2L changeover: equipment and refrigerant for R-410A systems already in homes, and new systems on R-454B or R-32. EPA's 2026 rule noted that while there was enough R-454B overall in 2025, getting it to contractors in service cylinders was hard, and some regions ran short. A test on finished sales shows what each record should have captured before the next change arrives.

// How it runs
One desk, three steps
- Step 01
The proof of concept
After the NDA, your team sends copies of 20 to 30 finished claims or sales, with the factory's answers or the records your branch kept. Nothing connects to your systems, and files that can't leave the building become look-alikes built with your reviewer.
- Step 02
Your reviewer decides
The owner names the reviewer, often the warranty administrator or the compliance lead, and the success criteria go in writing before day one, along with a price range for the live job. Your reviewer sets every draft beside what your team actually did.
- Step 03
About 30 days live, after a yes
The same job runs on new claims or sales for about 30 days, and a person approves each draft before anything is filed or recorded. The second desk is its own decision, with its own test and price.
Priced per job. You get a range before the proof of concept and a fixed price before you sign.
Rob gives the range on the call, once he knows how many claims or regulated sales your branches handle in a month, how many manufacturers' lines you carry and how many branches do the work.
// Questions
What HVACR distributors ask first
We carry several equipment brands. Which one do you test?
Do you need our ERP or the manufacturers' warranty portals?
Can the AI tell us whether a refrigerant sale is legal?
Our counter writes warranty tags by hand. Is that a problem?
Who should our reviewer be?
