Customer POs drafted as Syspro sales orders, line types and all.

For manufacturers and distributors whose desk keys emailed POs into Syspro's Sales Order Entry. AI drafts the header, stocked and non-stocked lines, freight and comments from copies of 20 to 30 POs already entered, and your reviewer, the person who knows your order desk best, sets each draft beside the order Syspro saved. We never log in to Syspro.

// The one job

From a PO in the inbox to a Syspro order ready to end

Someone opens Sales Order Entry, picks the customer, types their PO number and checks the ship-to. Each line goes on as a stocked or non-stocked item, with freight and charges after it, and ending the order moves it to its next status. The care goes into what Syspro can't settle alone: which stock code the buyer meant, where the goods are going, and whether the PO's price is one your desk will honor.

In the proof of concept, AI reads copies of POs your desk already keyed and writes each one up as Syspro holds an order, line type by line type, with the reason for every choice. Nothing is saved anywhere. Your reviewer compares each draft with the order your desk ended in Syspro and marks what differs.

// Inside Syspro

What Syspro's Sales Order Entry asks your desk to decide

Every line has a type. Syspro builds an order from typed lines: stocked, non-stocked, freight, miscellaneous charge, comment, standard comment and service charge. A comment can be tied to the stocked line above it, and Syspro's help says that if the stocked line is deleted, the comment moves down to the next one. A buyer's PO is never sorted that way. A note like "ship with certs" might belong on a comment line, in the order notes or nowhere, and an item you don't stock becomes a non-stocked line only if your desk handles it that way. The draft labels every line with the type it would use and says why.

Customer stock codes, and whose list they sit on. When a PO line carries the buyer's own part number, Syspro looks it up in the customer/stock code cross-reference. Syspro's import documentation shows the lookup can use the customer's own codes, the master account's codes, or the customer's first and then the master account's, which matters when a buyer orders under a sub-account. The same documentation points to a Customer Maintenance option that decides whether a customer's orders must carry a PO number. The draft shows which list each match came from, marks any line matched on description alone, and flags a missing PO number when the customer requires one.

Ship-tos that can move under you. The ship-to address on the order header is mandatory in Syspro. A different address on a line prints on the delivery note but not on the invoice, unless the order goes through Dispatch Notes with Ship address per line. And unless Fix ship address at time of order entry is turned on, an order still in progress picks up the latest ship-to defined against the customer, so an address edit on the customer can reach an order your desk already checked. The draft names the ship-to it used, flags POs with more than one delivery address, and notes which of these settings your reviewer says you run.

Prices Syspro works out, and where your desk overrides. Syspro's pricing engine prices a stocked line from the order's price group, the stock code and the quantity. With no valid price group it uses list price, and with no valid list price the line shows 0.00. A customer on more than one contract gets the lowest valid contract price, an expired contract is offered only when Prompt for expired contracts is on, and order discount breaks apply only once the order is ended. The draft states the price it expects Syspro to land on, sets it beside the PO's price, and lists every line where your desk would have to override.

The status each order lands in. Ending an order gives its header a status: 1 for an open order line, 2 for an open back order, 4 once a delivery note prints, 8 when it is ready to invoice, and S, in suspense, when it fails credit checking or is put on hold. A forward order, status F, waits until someone releases it, and a customer on hold blocks new orders and line changes while the header stays editable. Each draft predicts the status Syspro would give it, with the ship and back-order quantity on each line. Your reviewer, often the order desk lead or whoever knows your Syspro setup best, looks hardest at stock code matches, ship-tos and suspense, because those decide what reaches the warehouse.

// What you send

Reports and exports from Syspro, never an operator login

Copies only
Nothing connected
01

20 to 30 POs and the Syspro orders they became

Each PO as it arrived, with the order your desk ended in Syspro, printed or exported with every line. A PO with a non-stocked item or a second delivery address makes the sample better.

02

Stock codes and customer stock codes

Your stock code list with units, and the customer/stock code cross-reference for the customers in the sample, master accounts included. A report or spreadsheet is enough.

03

Price groups and contracts

The price groups and contract prices that apply to those customers, with their start and end dates, so each line's price can be judged.

04

An NDA, then copies

Signed before the first PO moves. No login to Syspro, its web interface or your email at any point. If POs must stay on site, your reviewer helps us build look-alikes that keep the awkward cases.

// After a yes

A month of live POs, each draft approved before Syspro sees it

Pass the success criteria, and new POs get the same drafts for about 30 days.

Every draft waits for someone on your desk to approve, correct or return it before an order is entered in Syspro. Approved orders go in the way your Syspro administrator chooses: keyed from the draft, or loaded with tools your company already licenses. The scoring sheet carries on through the month.

  1. 01

    POs that accept a quotation

    A PO checked line by line against the Syspro quotation it accepts, so your desk knows whether to confirm that quotation into a new order or add it to one already open.

// One hard limit

We never log in to Syspro, and we are not a Syspro partner.

Everything works from copies and exports you send. We never sign in to Syspro, its web interface or any Syspro service, and we claim no integration, partnership, certification or reseller status with Syspro. Syspro is named on this page only because it is the system you run, and the name is Syspro's.

One job, one price: a range before the proof of concept, a fixed price before you sign.

The range depends on how many POs your desk enters in Syspro a month and how many carry non-stocked lines or a second delivery address.

// Questions

Questions from Syspro order desks

Is this a Syspro integration or add-on?
No. We are not a Syspro partner and have no integration, certification or reseller agreement with Syspro. The test runs on copies and exports you send, and we never log in.
Doesn't Syspro 8 already turn uploaded POs into orders?
Syspro's help describes Purchase Order to Sales Order, opened from a Document Analyzer button in Sales Order Entry, which builds an order from an uploaded PO for someone to review and save. We have no connection to it, and whether you use it is your call. This test answers a narrower question first: how drafts of your own past POs score against what your desk entered, judged by your reviewer.
We're on an older release. Does that matter?
Not for the test, which needs only reports and exports. Screen and field names on this page follow Syspro 8's current help, and an older release may label some of them differently. The company now writes its name as Syspro rather than SYSPRO; it is the same system.
What do you need out of Syspro?
Exports, not access: the orders your sample POs became, your stock codes, the customer/stock code cross-reference, and the price groups and contracts for those customers. Reports or spreadsheets are enough.
Could approved drafts load through Syspro's own import?
Possibly, and that is settled only after a yes. Syspro's business object library documents SORTOI, a sales order import object that adds, changes or cancels orders, with options such as whether a customer PO number must be supplied. Whether to use it, and who sets it up, is your Syspro administrator's call.
Will the drafts allocate stock or create jobs?
No. The drafts sit on a review sheet, so nothing allocates stock, prints a delivery note or raises a purchase order or job. A non-stocked line that would need supply is flagged for your desk to handle as it does now.
