Customer POs drafted as Sage 100 sales orders, then set against the orders your desk saved.

For distributors and manufacturers whose order desk still types POs into Sales Order Entry, on Sage 100 or the MAS 90 or MAS 200 it used to be. AI drafts the header, the lines and any master order release from copies of 20 to 30 POs already keyed. Your reviewer, whoever knows your order desk best, compares each draft with the order that went into Sage 100. We never log in to Sage 100.

A PO in the inbox, a Sage 100 order drafted for a person to check

Today someone opens Sales Order Entry, picks the order type, enters the customer and the buyer's PO number, chooses a ship-to code and works down the Lines tab: item, quantity, unit price, promise date. A release against a master order, or a PO that answers a quote, adds a step before any of that. Most of the minutes go into checking, not keying.

For the test, AI reads copies of POs your team has already entered and drafts each one in Sage 100's own terms, header, address and lines, with a note on why it chose each value. It saves nothing in Sage 100. Your reviewer then checks every draft against the order your team keyed at the time.

What Sales Order Entry leaves your desk to settle

Which order type. Sales Order Entry offers a standard order, a back order, a price quote, a master order and a repeating order. Back orders usually aren't keyed by hand: Sage's help says they are created in Invoice Data Entry when fewer units ship than were ordered, with the shortfall moved to Back Ordered. A quote becomes an order when someone changes its type to Standard, and only then does inventory on sales order move; the header keeps a Promoted to Order On date. The draft says which type it would use for each PO, and why.

Master orders and their releases. For a customer buying a large quantity over time, a master order holds the total, and each shipment is a standard order that names the master in its Master/Repeating Order field. The master's lines track original quantity, balance, ordered to date and shipped to date, and its ship date field becomes an expiration date. The draft finds the master a release belongs to, shows the balance before and after, and holds a release that would overrun the balance or arrive after the master expires.

Their PO number and their part numbers. Sage 100 shows a message when a Cust PO number is already in use, and a user with the right security can look at the other documents or carry on. Item numbers are their own puzzle. An alias can be general or belong to one customer or vendor, aliases can be added on the fly in Sales Order Entry, and typing one puts your item code on the line. That makes a wrong alias easy to create and hard to spot later, so the draft shows the alias behind every line and marks any match it had to guess, for a person to confirm.

Ship-to codes carry more than an address. The Ship To Addr code fills the address from Customer Ship-To Address Maintenance, and the warehouse, ship via and salesperson can default from it. The tax schedule follows the ship-to ZIP code, so a job-site address typed over the default can change the tax on the order. The draft picks a ship-to code when the PO's address matches one on file, and labels anything else as an address change for your desk to approve.

Price, credit, and what your reviewer watches. Unit price comes from the item's price code, the customer's price level and any sale pricing, and changing it takes security. A customer on credit hold or over the limit brings up the Customer Credit History window, and an order held after that check carries Hold status with a reason code. The draft states the price it expected, the price on the PO and the gap, and notes when an order would meet a credit check. Your reviewer, usually the order desk lead or inside sales manager, looks hardest at aliases, master order balances and repeated PO numbers, since those decide what ships and what gets billed.

01

20 to 30 keyed POs, each with its saved order

Each PO as it arrived, beside the Sage 100 order your desk saved from it, printed or exported with header and lines. A master order release, a promoted quote and a reused PO number make the sample better.

02

Items and aliases

Your item list with units of measure, and the alias items set up for the customers in the sample. Any spreadsheet export works.

03

Ship-tos, master orders and pricing

Ship-to codes and addresses for those customers, the open master orders their POs release against, and their price levels or special pricing if price is in scope.

The NDA, and no Sage 100 user

The NDA comes before the first file. No Sage 100 login, remote desktop session or email access at any point. If POs can't leave the building, your reviewer helps us make look-alikes that keep the tricky lines.

// After a yes

About 30 days on new POs, a person approving each order

Once your reviewer finds the drafts meet the success criteria, incoming POs are drafted the same way for roughly 30 days.

Someone on your desk approves, corrects or returns each draft before an order exists in Sage 100. Approved orders get in the way your Sage 100 admin prefers: typed from the draft, or loaded through an import such as Visual Integrator where your company already licenses it. Credit release, picking and invoicing stay with your team.

// One hard limit

We never log in to Sage 100, and no order is created or released.

All of it runs on copies and exports your desk sends. We never sign in to Sage 100, its database or its server, and the test never creates, changes or releases a sales order, ships or invoices anything, or contacts a customer. A person on your desk decides and enters every order. We claim no integration, partnership, certification or reseller status with Sage. Sage 100 is named here only because it is the system you run; Sage and Sage 100 are trademarks of The Sage Group plc.

One job, one price: a range before the proof of concept, a fixed price before you sign.

What sets the range: POs keyed into Sage 100 each month, and how many are master order releases or arrive in the buyer's own item numbers.

// Questions

Questions from Sage 100 order desks

Is this a Sage 100 integration or add-on?
No. We are not a Sage partner or reseller and have no integration, certification or add-on for Sage 100. Everything in the test comes from files your team sends, and nobody on our side signs in to your system.
We still call it MAS 90. Does this apply?
Yes. MAS 90 and MAS 200 became Sage 100 with the 2012 release, and in April 2024 Sage dropped the Sage 100cloud name too, so the product is simply Sage 100 again. This page describes the order screens from Sage's current help, and an older release may label a few fields differently. The test depends on none of it.
Our customers send master POs with release schedules. Will the test cover them?
Yes, if the sample includes the releases and the master orders they draw on. Each draft names the master, shows the balance before and after the release, and holds any release that would overrun the balance or land after the master's expiration date.
What do you need out of Sage 100?
Only exports: the orders your sample POs became, your item list with the customers' aliases, their ship-to codes, open master orders and, if price is in scope, their price levels. A report saved to Excel or a CSV file works.
Will a draft touch credit holds or stock?
No. Drafts sit on a review sheet, so nothing changes inventory on sales order, credit status, picking sheets or invoices. Where a customer would meet a credit check, the draft says so and the decision stays with your team.
Can approved orders go into Sage 100 without retyping?
Possibly, in the live month. Some Sage 100 companies import sales orders with Visual Integrator, Sage's import module. Whether yours does, and how, is your Sage admin's choice, and a person still approves every order first.
