Acumatica sales order automation, checked against orders your desk already saved.

For manufacturers and distributors whose order desk retypes customer POs into Acumatica. From copies of 20 to 30 POs already entered, AI drafts each order's order type, customer location, lines and prices, and says which alternate ID, price record and shipping rule it relied on. Your reviewer, the person who knows your Acumatica order entry best, scores every draft against the order your team saved. We never log in to Acumatica.

// The one job

A customer PO, drafted as the Acumatica sales order your desk would save

Today someone opens the Sales Orders form, picks the order type, the customer and the location, and copies the buyer's PO number into Customer Order Nbr. Each PO line becomes a line on the Details tab, found by your inventory ID or by an alternate ID, and Acumatica suggests a price. Most of the time goes into deciding whether to trust what it suggests: the right item for this customer's number, the unit, the price, the address, and whether the order will clear its credit check.

For the test, AI reads copies of POs your team has already entered and drafts each one as an Acumatica order, summary, lines and shipping settings, noting where every value came from. Nothing is created in Acumatica. Your reviewer lays each draft beside the saved order and marks every difference.

What Acumatica's order types and settings decide for each PO

The order type sets the rules. Every Acumatica order starts with a type, and the Order Types form holds most of what governs entry. SO is the ordinary sales order; SA is the same kind of order but reserves the stock as soon as it is saved; QT is a quote; IN skips shipping and goes straight to an invoice; BL is a blanket order. Per type, your administrator decides whether Customer Order Nbr. is required, whether a repeated number is allowed, warned about or forbidden, whether new orders start On Hold, and whether a failed credit check means Credit Hold. The same PO behaves differently as SO or SA, so each draft names its order type first, with the reason.

A customer's part number belongs to one customer ID. Alternate IDs sit on the Cross-References tab of the Stock Items form as Global, Customer Part Number, Vendor Part Number, Barcode or GTIN/EAN/UPC/ISBN. A Customer Part Number is tied to one customer and works on sales orders only, and any alternate ID can carry its own unit of measure if that unit is in the item's conversions. Typed into the Inventory ID column, it brings in your item and the cross-reference's unit. Two catches: users report that a part number set up under one customer ID won't match on an order for a sister account, and a new value typed in an order's Alternate ID column creates or replaces that customer's alternate ID. The draft names the cross-reference row and unit behind each line, and lists every line where it had to guess, for a person to confirm before any alternate ID changes.

Where Acumatica looks for a price. When an item lands on a line or its quantity changes, Acumatica looks for a price in effect on the order date: first one for that customer, then the customer's price class, then a base price, then the item's default price. Within each, promotional beats regular, a price in the line's unit beats one in the base unit, and a warehouse's own price beats a general one; tiers apply by quantity. Acumatica's support team has said the price class is the one pricing setting held per customer location, so two delivery points of one customer can price differently. Each draft says which price a line should get and how it differs from the PO, and a separate list holds every saved line marked Manual Price, since someone typed that price by hand.

Credit holds arrive after the save. Credit rules come from the customer class and can be changed per customer: Credit Limit, Days Past Due, both together, or Disabled. On an order type set to hold documents on a failed credit check, the check runs when someone takes the order off hold, and a failure gives it Credit Hold status; users note the order itself still saves. A payment covering the whole order can lift the hold if the order type allows it, but not while the customer record sits on Credit Hold. The draft marks customers your export shows near their limit or past due, so your desk knows before an order stalls.

Ship-tos, shipping rules and blankets. The Location box on an order is a customer location, and its address fills the ship-to; a job site or one-off address means selecting Override Address on the Addresses tab, or a new location. The Shipping Rule, on the order and on each line, is Ship Complete, Back Order Allowed or Cancel Remainder, which ships a line once and drops what's left. A BL blanket order holds quantities for planning without touching availability; every line needs a Ship-To Location, Create Child Orders turns lines whose Sched. Order Date has come into SO child orders, one per location, and Blanket Open Qty. shows what remains. The draft matches each release PO to its blanket line and gives the open quantity left after it. Your reviewer, usually whoever sorts out the odd orders in Acumatica today, will look first at order type, alternate ID matches, price source, credit status and blanket lines.

20 to 30 POs and the orders saved from them

Each PO as it arrived, beside the Acumatica order your desk saved, exported with its order type, lines and shipping settings. A release against a blanket order and an overridden address make the sample better.

02

Items and cross-references

Your stock items with their units and conversions, plus the Cross-References tab entries for the customers in the sample.

03

Prices and credit

Sales prices for those customers, their locations and price classes, and each customer's credit rule and status as they stood when the POs arrived.

04

Blanket orders, if you use them

Open BL orders for the customers in the sample, with their scheduled order dates and open quantities.

// After a yes

Live for roughly 30 days, with a person on every order

If the drafts meet the success criteria, new POs get the same drafting for about 30 days.

A person on your desk approves, fixes or rejects each draft before an order exists in Acumatica. Your Acumatica administrator decides how approved orders get in: typed from the draft, or loaded through an import scenario your company sets up and runs. The scoring sheet from the test stays in use through the month.

// One hard limit

We never log in to Acumatica, and we are not an Acumatica partner.

The test runs on copies and exports your team sends. We never sign in to Acumatica, hold a user or API credentials for your site, or publish a customization to it, and we claim no integration, partnership, certification or reseller status with Acumatica. Acumatica is a trademark of Acumatica, Inc., named on this page only because it is the system you run.

One job, one price: a range before the proof of concept, a fixed price before you sign.

We set the range on the call from your monthly PO count, how many lines a typical order carries, and how many orders release against blankets.

// Questions

Questions Acumatica users ask

Is this an Acumatica integration or a customization?
No. We are not an Acumatica partner or reseller, we publish no customization project, and nothing connects to your site. The proof of concept works from exports your team sends, and we never log in to Acumatica.
What do you need out of Acumatica?
Exports, not access: the saved orders behind your sample POs, your stock items with units and cross-references, the sales prices and price classes for those customers, and their credit settings. Generic inquiries or grids exported to Excel are enough.
Our customers sometimes send the same PO number twice. Is that a problem?
Tell us how your order types are set. Acumatica can allow, warn about or forbid a repeated Customer Order Nbr. on each order type, so every repeat in the sample is flagged with the order it repeats. Your desk keeps the call on whether it is a new order, a change or a duplicate.
We use BL blanket orders. Will the drafts create child orders?
No, nothing is created in Acumatica. Each release PO is matched to the blanket line and Ship-To Location it belongs to, with the open quantity left after it. Your desk keeps creating child orders the way it does now.
Acumatica already suggests a price. What does the draft add?
It names the price record a line should use, customer price, price class or base, and shows where the PO disagrees before anyone saves. Your reviewer can then see why a saved order carries the price it does, and which lines someone priced by hand.
