Preliminary notices for roofing jobs, drafted from the job sheet for your credit manager to decide.
A roofer opens a job with you, the first pallets go out, and a notice clock may already be running. In a free AI proof of concept, AI reads copies of job information sheets and delivery records from 20 to 30 jobs your credit team already handled and drafts the notice list: who would be named, what the state's rule says, and which jobs are missing details. Your reviewer, the person in credit who knows these accounts best, compares each draft with what your team actually did.

// The one job
From one job sheet to a notice list your credit manager can act on
A contractor's job information sheet names the job, the address, the owner as the roofer understands it, and maybe a general contractor or a lender. Your credit team checks that against the state where the roof sits, the date the first delivery went out, and what kind of project it is, then works out who should receive a preliminary notice and by when.
For the test, AI reads copies of those sheets and your delivery records and drafts the notice list: owner, general contractor and lender names, the property description, the first furnishing date, the state's deadline as its statute states it, and every job with details missing. Each date names the rule behind it. It sends nothing, files nothing and opens no account.

Why the same job sheet can mean a different notice in every state
Arizona wants an estimate and four recipients. Under A.R.S. 33-992.01, a supplier gives a preliminary twenty day notice to the owner or reputed owner, the original contractor, any construction lender and the person who bought the material, no later than twenty days after it first furnished materials to the jobsite. The notice describes the materials in general terms and estimates their total price. One notice covers a building until the estimate is beaten by a margin the statute sets, or until more than one subcontractor is buying for it. Within ten days of a written request, the owner or another interested party owes you the jobsite description, the names and addresses of owner, original contractor and lender, and bond details where a payment bond was recorded, and a notice found inaccurate from that answer is amended within thirty days of receiving it.
Ohio and Michigan start with a recorded document. Ohio's section 1311.05 asks for a notice of furnishing only where someone has recorded a notice of commencement. It goes to the designee that recorded notice names and to the original contractor, within 21 days of first furnishing, and a supplier in direct privity with the original contractor is excused from serving that contractor. Michigan's Construction Lien Act gives 20 days, and its form cites the notice of commencement by liber, page and county. As Michigan's section reads, a late notice doesn't defeat the lien for material furnished after service, and for earlier material it matters only to the extent the owner or lessee already paid under a sworn statement or lien waiver. A job sheet alone can't answer any of that, so the draft asks for the recorded notice and says when it is missing.
On a reroof there may be no general contractor. Many reroofs are contracted directly by the building owner, which makes your roofer the original contractor and leaves the sheet's GC line blank or filled in with a property manager. The list of who gets served changes with it. California's Civil Code section 8102 has a notice carry the names and addresses of the owner or reputed owner, the direct contractor and any construction lender, to the extent known, plus a description of the site sufficient for identification, and a sufficient legal description saves a notice whose street address is wrong or missing. Section 8208 has the direct contractor make the owner's and the lender's names and addresses available to anyone seeking to give preliminary notice, so a blank on the sheet can go back to the roofer as a question.
The first furnishing date comes from your tickets. Arizona's words are first furnished to the jobsite, and the sheet's start date is only a plan. On a low-slope job the first thing delivered is often insulation, days ahead of the membrane, and a will-call pickup by the crew has no ship-to address at all, so the ticket needs a job reference or the date stays open. A campus reroof delivered building by building raises a second question, because Arizona's single notice is written for the building, structure or improvement. The draft lists each building separately and leaves the answer to your credit manager.
Public reroofs, and what your reviewer watches. School districts and agencies buy reroofs under their own payment bond statutes. Ohio's section 153.56, for one, has a supplier not in direct privity with the principal contractor serve a notice of furnishing once what it supplies passes a cost threshold, and ties recovery to amounts for material during and after the 21 days before service. Notice rules vary by state and they change, and this page is not legal advice, so the draft carries only the rules your counsel or credit team has accepted for the test, each date with its statute and the event it counts from. Your reviewer will watch for a property manager entered as owner, a lender left off, a first delivery taken from an estimate, and any job whose state isn't on the agreed list.
// What you send
Copies from your credit department
20 to 30 opened job accounts
The job information sheets and POs your team worked from, including a reroof with no general contractor, a bonded public job and one opened with pieces missing.
Delivery and pickup records
First and later delivery tickets and will-call slips for each job, exported from your system, so first furnishing comes from your records and not the sheet.
What your team worked out
The notice list, calendar or spreadsheet your credit team kept, and any notices actually sent, so each draft can be read beside them.
Your state rules, after an NDA
The states you ship into and the rules your credit team or counsel uses. Black out account and bank numbers. Nobody signs in to your ERP, credit system or a notice service, and look-alike files work when originals can't leave.
// Before it starts
Settled before any job sheet is copied
Because a wrong date can cost lien rights, the owner puts these points in writing first.
- Your reviewer
- Named by the owner, usually the credit manager or the analyst who keeps the notice calendar
- States in scope
- Picked by your reviewer from the sample, with rules your counsel accepts
- Success criteria
- Which names and dates must match, and how a date left open is scored
- Who decides
- Your credit manager or counsel, on every notice and deadline
- Price
- A range for running the list live, quoted up front
- NDA
- Signed before any job sheet moves

// After a yes
About 30 days on new job accounts
When your reviewer says yes against the success criteria, new job information sheets get the same draft list for about 30 days.
Your credit manager decides each notice, and your team or the service you use today sends it. Each draft waits for that decision before anything happens.
A fixed price for the live job is set before anyone signs. Anything after it is a separate job at its own price, with monthly support once it runs.

// One hard limit
It never decides a deadline or files a notice.
The proof of concept never touches your ERP or credit system, and it sends and files nothing. It never decides what a lien statute requires or says that a right has been kept or lost. Notice rules vary by state and they change, so nothing here is legal advice: your credit manager or counsel decides every notice.
Priced per job. You get a range before the proof of concept and a fixed price before you sign.
The range comes on the call, once we know how many job accounts you open in a month, how many states you ship into, and whether job sheets arrive on one form or many.

What credit managers at roofing suppliers ask
Does the AI tell us what a state's lien law requires?
Our roofers often leave the owner line blank. What happens then?
Will it send notices or hand them to our notice service?
Can public reroofs and bonded jobs go in the sample?
