Working violations in Vantaca? Test letter drafts against inspections your managers already approved.

For community association management companies that log violations in the Vantaca Manage app and approve them in Inspection Review. AI drafts each letter the way its step would print it, with the CCR item, that association's own wording, the step and the cure date settled first, from copies of 20 to 30 inspections already approved. Your reviewer, the person who knows your enforcement work best, checks every draft against the letter Vantaca produced. We never log in to Vantaca.

// The one job

An inspection is waiting for review. Each violation on it already has a draft letter.

In Vantaca a violation is an action item. The inspector picks a CCR item and a detail in the Manage app, adds photos and the required action, and the step defaults to the first one in that association's workflow. Back at the desk a manager opens Inspection Review, reads every row, fixes or removes the wrong ones and approves the inspection. Approval is what releases the letters, so that reading decides what owners receive.

For the test, AI reads copies of inspections your team already approved, with the Vantaca setup behind them, and writes each letter as the step would generate it, giving a reason for the item, the wording, the step, the cure date and the name on the envelope. It approves, steps and prints nothing. Your reviewer lays each draft beside the letter that came out of Vantaca.

// Inside Vantaca

Where a Vantaca violation letter gets its words, dates and charges

Two communities, one CCR item, two rules. Vantaca keeps a global list of CCR items under Settings and a list per association, where each item is marked Used or Not Used. An association can carry its own Letter Description for an item, which is merged into the violation letter, and changing it there leaves the global library and every other association untouched. So Fences can cite one declaration section here and a different one next door. The draft quotes the section from that association's own documents and flags a Letter Description that still reads like the global default or another community's rule.

The cure clock starts at creation. Each CCR item has Details picked from a dropdown, and each Detail holds a cure period in days. Vantaca's help center says the Cure Date is the cure period added to the created date of the first violation, not the letter date. An inspection that waits a week for review hands the owner a letter with a week less on it than the period suggests. The draft prints the created date, the likely letter date and the cure date side by side, and marks any letter where that gap cuts into the cure time your policy or your state requires.

Review is the gate, and some choices stick. A violation can be added in the Manage app only during an active inspection, stays Pending until review, and is discarded if not accepted. Once it is saved, its CCR item and description can't be changed. Inspection Review groups the rows by step with a count, shows the fine and the latest photo, and files any violation whose last update was only a note or photo under Internal Note, still waiting to be stepped. Vantaca's own troubleshooting note says inspection letters reach the print queue once the inspection is approved and its Send Letters step carries the Send Inspection Letters to Homeowners action. The draft is built for that screen: a note against every row whose item and photo disagree, so it can be removed and logged again instead of lettered.

A fine is a charge rule sitting on a step. A violation fine in Vantaca is typically an action item charge, set up under Association > Assessments. Each rule names the action type and step, a default amount the person stepping can edit, and a frequency; Daily charges the owner every day the item stays on that step. One violation charge can hold daily, weekly, monthly and one-time rules, and two rules on the same step charge twice. The draft names the step it would pick and the charge rule your export ties to that step, then stops. It never enters, edits or waives an amount.

Who gets the letter, and what it shows. Vantaca's merge tag guidance points violation letters that must reach the owner of record as shown on the deed to the Deed Name tag, which tries the deed name, then a business name, then the owner's name. A step whose Mail Format is Mailing Addresses prints one letter for every mailing address on the account. The photo prints only if the template holds an image merge tag. The action item subject is what the owner reads on the Compliance and Notices page of Vantaca Home, so the draft writes a plain subject line too. Your reviewer, usually the manager who approves inspections, watches the cure date, the step and the charge rule hardest.

20 to 30 approved inspections and their letters

The Inspection Report PDF for each, from Association > Inspections, with the letters each violation produced. Put in one row removed during review, one on a fine step and one reissued at the same step.

02

The CCR setup behind them

Each sampled association's CCR item list with its Letter Descriptions, Details and cure periods, plus the declaration, rules and design guidelines those descriptions stand for.

03

Steps, templates and charge rules

The steps in your violation model, the letter template on each step with any association override, and the action item charge rules from Association > Assessments. Screen prints are fine.

04

Signed NDA, then redacted copies

The NDA comes before any export. No Vantaca user, Manage app login or portal access at any point. Black out owner names and mailing addresses but mark where a trust or company owns the lot, so the name rule can still be checked; look-alikes work if files must stay in.

// After a yes

About 30 days of live inspections, approved by your managers

When the drafts meet the success criteria, new inspections in the associations you choose get drafts for about 30 days.

Your manager reads each draft during Inspection Review, then edits, removes or approves the rows in Vantaca as today, and the letters print the usual way. Steps, charges, hearings and board decisions stay with your team and the board. Nothing else is added that month.

// One hard limit

The AI never approves an inspection, steps a violation or adds a charge.

It never decides that a condition breaks a rule, never sets, edits or waives a fine or charge, and never sends, prints or emails anything to an owner, a resident or a board. It works only from copies and exports you send. We never sign in to Vantaca, Vantaca Manage or Vantaca Home, and we claim no integration, partnership or certification with Vantaca. We use the name because your company runs it; the trademark belongs to its owner.

One job, one price: a range before the proof of concept, a fixed price before you sign.

Rob sets the range from how many violation letters Vantaca prints for you a month and how many associations carry their own charge rules.

// Questions

Questions from Vantaca enforcement teams

Is this a Vantaca add-on or integration?
No. There is no integration, partnership, certification or API user, and nobody on our side signs in to Vantaca, the Manage app or Vantaca Home. The test runs on reports, PDFs and screen prints your team sends.
Vantaca already builds the letter from a template. What does a draft add?
The template fills in whatever the violation record holds. The draft checks that record before approval: whether the CCR item fits the photo, whether the association's wording is current, which step the lot's history calls for, and how much cure time the owner really gets. Those are the rows your reviewer scores.
Our board approves inspections in Vantaca Home. Does that change anything?
No. Vantaca's help center says approving at the Board Review step posts the violations to owner accounts and generates the letters. The drafts sit beside that review, and your board or manager still makes every click.
Which Vantaca reports do you need?
The Inspection Report PDF for each sampled inspection, the Violations Report with Photos or the plain Violations Report for those associations, the CCR item list and your charge rules. A PDF or Excel export is enough, and owner ledgers stay out.
Will a draft ever put a fine on an owner's ledger?
No. In Vantaca a charge lands when the violation reaches a step that carries a charge rule, whether a person steps it or the workflow does. The draft only names that rule so your manager sees it before stepping, and it writes nothing into Vantaca.
Who should our reviewer be?
Usually the community manager who approves inspections in Inspection Review, or the compliance lead for the sampled associations. Your company's owner names one person, and that person's judgment decides the test.
