// Vantaca · Resale certificates
On Vantaca? Test resale certificate drafts against the ones your closing desk already issued.
For community association management companies whose closing coordinators answer resale orders from Vantaca records, with the package built in a portal such as HomeWiseDocs, CondoCerts or ReadyRESALE. AI drafts the answers that still need a person, open violations, litigation, insurance and transfer charges, for copies of 20 to 30 certificates already issued, each tied to the Vantaca record behind it. Your reviewer, the person who knows your closing desk best, checks every draft. We never log in to Vantaca.

// The one job
A resale order arrives. Its answers are drafted from what Vantaca holds.
In a Vantaca shop the order seldom starts in Vantaca. A title company orders through HomeWiseDocs or another document portal, and with HomeWiseDocs, Vantaca hands over account and association data when the request comes in. Your closing coordinator does the rest: confirms the open violations are still open, describes the lawsuit, checks that the policy on file is the current one, works out which transfer charges this sale triggers. Reading those action items and association records is where the hours go.
For the test, AI reads copies of orders your desk already answered, along with the Vantaca exports behind them, and drafts each certificate's answers with the record each one came from: a Closings tab field, an insurance policy, a violation or architectural request. Every line about what the seller owes stays blank. Your reviewer sets each draft beside the certificate that actually went out.
Vantaca records
// Inside Vantaca
Where a Vantaca certificate's answers really come from
The Closings tab is typed by hand. Association > Additional Info gains a Closings tab only once a HomeWise or CondoCerts integration is switched on, and it holds the closing details, including the fields Vantaca sends to HomeWiseDocs. Vantaca's help center says Additional Info cannot be imported, so every association's values were keyed by someone at some point, perhaps years ago. When the draft uses a Closings tab value, it checks it against the document it stands for, such as the budget or the declaration, and marks a value that no longer agrees instead of repeating it.
A YES is not an answer. The field list Vantaca publishes for its HomeWise integration carries open violations as a YES or NO flag on the account, and litigation as a YES or NO for the association with a litigation comment beside it. A certificate usually needs more than a flag. So behind every YES the draft opens the Violations action items on that home, lists each with its step and date, and puts the litigation comment beside the lawsuit question, leaving your coordinator to decide how much the form calls for.
The interface reads; it does not correct. Vantaca says its HomeWiseDocs interface cannot update fields in Vantaca and can only attach documents to a homeowner's account. In the Closings action category, an additional action called 3rd Party Document Received turns a document arriving through that endpoint into a new action item on the homeowner. A fix typed onto a certificate therefore never reaches the record behind it. Where an issued certificate in your sample disagrees with the Vantaca record, the draft says so, and a past hand-correction shows up as a record to fix.
Insurance and transfer charges. Insurance answers come from Association > Insurance: coverage, carrier, agent, policy number and renewal date. Vantaca's portfolio-wide insurance export shows N/A for any association with no policy entered. Transfer charges come from Owner Transfer charge rules, which can apply on every transfer or only on the first sale of an empty lot, and can fall on the seller or the buyer; a working capital contribution or a seller certification charge are the examples Vantaca gives. The draft names the policy it used and flags one that lapses before settlement, then lists each transfer charge your rules would add and who pays it. It never sets or changes a charge.
After settlement, and what your reviewer watches. Your team then runs the Ownership Transfer in Vantaca: a settlement date, prorated charges, a new account number for the buyer. Open action items such as violation notices follow the buyer only if someone copies them, and the ones left behind do not void on their own. Vantaca also puts an exclamation mark beside a home that has a Closings action item during mobile inspections, so a sale in progress is visible in the field. Each draft ends with the open items its certificate disclosed, the same list your coordinator will copy. Your reviewer is usually a closing coordinator, a role Vantaca's own guide puts in the All Portfolio so it reaches every association, and watches open violations, litigation and insurance hardest.
// What you send
Excel exports from Vantaca, and copies of what went out
20 to 30 issued certificates and their orders
Each order as it arrived from HomeWiseDocs or your portal, beside the certificate or package your desk delivered. Put in one home with open violations, one association in litigation and a rush order.
Association records
For the associations in the sample, Export This Association to Excel from Additional Info, the Closings tab values as your desk sees them, and the insurance export from Association > Insurance.
Action items on the sampled homes
The Violations, ARC Requests and Closings action items on those accounts with their steps and dates, and your Owner Transfer charge rules as they are set up today.
An NDA, and no ledgers
Signed before a single file moves. No Vantaca user, API credential or portal login at any point. Strip the balance lines and black out buyer and seller names; if files can't leave, your reviewer helps us build look-alikes.

Live orders for about 30 days, still outside Vantaca
When the drafts meet the success criteria, new resale orders for the associations you choose get the same treatment for about 30 days.
Your closing coordinator checks each draft, fills the balance lines and signs the certificate, then delivers it through HomeWiseDocs or whatever channel your desk uses now. The AI writes nothing into Vantaca, and the Ownership Transfer stays a step your team runs after settlement.
// Later, one at a time
What could follow on a Vantaca closing desk
- 01Next
Closings tab check
Each association's Closings tab and insurance export compared with the documents on file, so stale values get fixed before the next order reads them.
- 02Then
Ownership transfer review
After each settlement, a list of open action items to copy to the buyer's account and the ones to void, for the coordinator to confirm.
- 03After that
Violation letters
Inspection findings lettered on the same Violations action items that the certificates read.

// One hard limit
No balances, no Vantaca login, nothing sent by the AI.
The AI never writes what an owner owes, never sets a fee, fine or transfer charge, never decides whether a condition is a violation, and never sends a certificate to an owner, buyer, lender or title company. It works only on copies and exports you send: we never sign in to Vantaca, HomeWiseDocs, CondoCerts or ReadyRESALE, and we claim no integration, partnership or certification with any of them. Vantaca is named on this page only because it is the system you run, and the name is a trademark of its owner.
One job, one price: a range before the proof of concept, a fixed price before you sign.
