On Trimble Spectrum? Test AP automation on invoices your desk already distributed.

For contractors whose AP team keys supplier and subcontractor invoices into Spectrum's Vendor Invoice Entry, or leaves the coding for a project manager in Invoice Approval. From copies of 20 to 30 posted invoices, AI drafts the G/L account, job, phase and cost type on every distribution line, the PO or subcontract behind it, and the routing code your approval setup would pick. Your reviewer, the person who knows your Spectrum payables best, checks each draft against what posted. We never log in to Spectrum.

// The one job

A vendor invoice in, a Spectrum distribution drafted line by line

An invoice reaches your AP desk by email or in the mail. Someone opens Vendor Invoice Entry, picks the vendor, and Spectrum works out whether the invoice belongs to a purchase order or a subcontract. Then every dollar needs a home: a G/L account, and for job costs a job, phase and cost type. Some desks key all of it. Others leave phase and cost type blank on standard invoices and let the project manager fill them in during approval. Either way the coding is the slow part, and once an invoice posts, fixing it takes another transaction.

For the test, AI reads copies of invoices your team has already posted and drafts each one as Spectrum would hold it, with the reason for every field written beside it. Nothing is keyed, routed, approved or paid. Your reviewer sets each draft next to the invoice as it actually posted and marks every line where the two part ways. What your team posted is the answer key.

// Inside Spectrum

What Spectrum checks on each line, and who sees the invoice next

Coding left blank on purpose. Spectrum lets whoever enters a standard invoice leave phase and cost type empty. The line is then unclassified, and the first reviewer in Invoice Approval codes it with the Assign Phases button, where only direct job cost rows can be changed, and only in their Phase and Cost type columns. Subcontract invoices can't wait like that: the phase defaults from the subcontract and the cost type is required. When a desk splits the work this way, the draft has to follow the same split, so it marks which lines it coded and which it would leave for the project manager, by the rule your desk uses.

One edit moves other fields. A job line needs a G/L account that is a work-in-progress account with the Job Cost option turned on. A phase set to Complete stops data entry, while an inactive one only warns. Changing the cost type can reset the G/L account, and changing the job, phase or cost type resets the tax code, after which Spectrum reallocates the tax. A quick recode during approval can therefore shift the ledger account or the use tax on that line without anyone meaning to. The draft shows the G/L account and tax code every line would land on, and flags any line coded to a phase your export lists as complete or inactive.

Routing codes and approval limits. With Use Invoice Approval processing checked in Accounts Payable Installation, a vendor can carry a default routing code, an invoice dollar limit, and an alternative routing code for anything above that limit. Each routing code lists its reviewers in order, top to bottom, and names a confirmer. If one reviewer on a code has an approval limit, all of them need one, each at least as high as the one before, and later reviewers are skipped when the invoice total sits within an earlier reviewer's limit. A second setting decides whether an invoice with no routing code skips approval and goes straight to Vendor Invoice Entry. So a wrong vendor or a misread total sends an invoice down the wrong path. Each draft names the routing code your vendor setup would pick and the reviewers it would reach.

Subcontract totals and progress billings. On a subcontract invoice, Spectrum shows its current totals: the revised subcontract, which is the original plus change orders, then less unapproved (bills still in Invoice Approval), less unposted, and less invoiced-to-date, which counts retention, leaving the total unbilled. Progress billings can be routed for approval before their billing item quantities and amounts are locked in, and the Subcontract Billing Worksheet shows each billing item's current and job-to-date figures. The draft carries this period's billing item, quantity and amount, and checks them against the unbilled figure in your export, so a bill that would run past the revised subcontract is flagged before anyone approves it.

Document tracking can stop the check. Codes set up in Document Tracking Item Maintenance are assigned to a vendor, or to one of its subcontracts, each with a date. Their actions decide what follows: a warning during entry, new invoices put on hold, no check selected at the Pre-Payment Register, or a lien release printed with the check. Trimble's own example pairs an insurance expiration code that holds new invoices with a 30-day code that only warns. Holds also come from below: if a sub-tier vendor is flagged for hold, new invoices on that subcontract go on hold by default. Each draft reports which tracking codes your export shows for that vendor and subcontract on the invoice date, and what they would do. Your reviewer, usually whoever runs Spectrum payables day to day, will look hardest at unclassified lines, tax codes after a recode, routing, and holds.

01

Invoices and their posted distributions

Copies of 20 to 30 vendor invoices as they came in, each with the distribution that posted: G/L account, job, phase, cost type and tax code on every line. A few that a reviewer recoded in Invoice Approval, and one that sat on a tracking hold, teach the test the most.

02

Job phases and their status

The phases and cost types on each job in the sample, with each phase's status, so a line coded to a finished or inactive phase can be caught. A job cost report saved as a spreadsheet does the job.

03

Vendors, routing codes and limits

For the vendors involved, the default routing code, dollar limit and alternative routing code, plus the reviewers and approval limits on each of those codes.

04

Subcontracts, POs and tracking codes

The subcontracts and purchase orders the invoices billed, with billing items and change orders, and the document tracking codes and dates on those vendors and subcontracts.

05

An NDA, then copies only

Signed before any invoice is copied. Nobody on our side signs in to Spectrum, Trimble Construction One or your bank. Invoices that can't leave the office are rebuilt as look-alikes with your reviewer, keeping the awkward cases in.

// After a yes

Roughly 30 days of new invoices, still without a Spectrum login

Once your reviewer agrees the drafts meet the success criteria, new invoices get the same drafting for about 30 days.

A person on your AP team approves, corrects or rejects each draft before anything is entered in Spectrum. How approved drafts get in is for whoever runs Spectrum to decide: keyed into Vendor Invoice Entry so your routing codes still send them to your reviewers, or brought in through Vendor Invoice Import if you already have the Spectrum Data Exchange module. Check runs, holds and lien releases stay with your team.

// One hard limit

No Spectrum login, no Trimble partnership, and nothing paid.

The test runs only on copies and exports your team chooses to send. No one on our side signs in to Spectrum, Trimble Construction One or any other Trimble product, and we claim no integration, partnership or certification with Trimble. No invoice is entered, routed, approved or paid, no hold is released, and no vendor or sub hears from us. Payroll and certified payroll stay with your team. Spectrum and Viewpoint are marks of Trimble Inc. or its affiliates, named here only because Spectrum is the system you run.

Priced per job. You get a range before the proof of concept and a fixed price before you sign.

The range depends on how many invoices you post in Spectrum a month, how many are subcontract progress billings, and how many go through invoice approval.

// Questions

What Spectrum offices ask

Do you connect to Spectrum?
No. There is no integration, partnership or certification between us and Trimble, and nothing touches your Spectrum database or your Trimble Construction One account. The test works from copies and exports your team pulls, and we never sign in.
Is this for Viewpoint Spectrum or Trimble Spectrum?
They are the same product. Trimble's product page uses both names, and Trimble's help calls it simply Spectrum. The screens named on this page, such as Vendor Invoice Entry and Invoice Approval, come from Spectrum's own help.
Doesn't Spectrum already have Automatic Invoicing?
Trimble offers Automatic Invoicing to Spectrum users under a Trimble Construction One contract, and announced an AI capability for it in November 2023. Its help says it enters invoice headers as unapproved invoices and fills in the vendor on its own only when that vendor has invoiced in the last 12 months. We have no part in it. This test looks only at invoices you already posted, coded line by line and scored by your reviewer.
Our project managers code phases in Invoice Approval. Does the test cut them out?
No. Tell us which lines your desk leaves unclassified, and the draft leaves the same ones, so your reviewer judges both what it coded and what it left for the project manager. In a live run, approved drafts can still travel through your routing codes.
We enter some vendor costs straight into Job Cost. Should those be in the sample?
Usually not. Spectrum's Job Cost Transaction Entry has an AP - Vendor tab for invoices received for one job, and those entries never appear in Accounts Payable, though they do reach Time + Material on T+M and cost-plus jobs. The test is built around invoices that pass through Accounts Payable.
Vendors bill tax that doesn't match our tax codes. Will the test show that?
Yes. Spectrum's invoice entry gives your desk choices for that gap, such as setting the header to the detail or spreading the difference across lines with sales tax codes. Each draft shows the tax your codes would calculate beside the tax billed and the choice your desk made. It gives no tax advice.
