// Commercial restoration contractors · Water loss closeout

Water loss closeout files assembled from the job record, with missing days and rooms listed.

When a commercial water loss ends, someone has to turn maps, readings and equipment logs into a file a carrier or a public owner can follow. In a free AI proof of concept on copies of 20 to 30 closed water losses, AI assembles the closeout package from your moisture maps, daily psychrometric readings, equipment logs, work authorization and certificate of completion, and lists every day and room the record doesn't cover. Your reviewer, the project manager who knows these files best, compares each package with the one your team sent.

// The one job

From a stack of daily readings to a file your project manager can submit

A commercial water loss closes with more paper than anyone wants to touch twice: a moisture map for each floor, the day's temperature, relative humidity and grains per pound, material readings, machines placed and pulled, the signed work authorization and the certificate of completion. A project manager or coordinator usually pulls it together at the end, often from several technicians' tablets and clipboards.

For the test, AI reads copies of those records and assembles a draft closeout package in the order your file goes out: authorization, moisture map, daily log, equipment log, photo index and certificate. It lists every room and day with no reading, every machine with a placement and no removal, and every signature missing. It never says the building is dry. Your reviewer sets each draft beside the file your team submitted.

// Where it gets hard

A drying file is only as good as the day it skips

The daily record has a set shape. C&R Magazine's October 2025 walk through the S500's drying chapter describes temperature, relative humidity, grains per pound and material moisture content documented daily, with calibrated meters at marked locations, and drying ended only when goals are objectively verified. Restoration & Remediation's July 2026 audit piece adds where the air readings come from: the affected area, the dehumidifier outlet, an unaffected area and outside. Cleanfax advised in 2020 that a dry standard come from unaffected material on the same property, never a canned list, and the S500, as its consensus body quotes it, has restorers establish dry standards and goals during the initial response. So the draft carries each reading with its material and meter mode, quotes the dry standard your technician recorded, and supplies no goal of its own. The standard or the file sets that.

Days billed must agree with days logged. Trade reviewers warn that equipment gets cut first: days after the log stops, days after a material reached its dry standard, and a log that never trends down. C&R Magazine's October 2026 list wants placement and removal dates, the reason for each placement, and readings tied to specific areas and materials. Another C&R article notes that grain depression is not defined in the S500 at all. Lake Worth Beach's unit price schedule bills air movers, dehumidifiers and a moisture monitoring machine by the day. The draft counts each machine's days against the readings beside it and lists every mismatch. It doesn't decide which to keep.

The building changes what the file has to show. CDC's infection control guideline for health care facilities notes that moisture meters can assess water-damaged structure, and it calls for removing porous wall materials still above its moisture limit after 72 hours. EPA's guide for schools and commercial buildings works to a response of 24 to 48 hours, discards ceiling tiles, and lets wallboard dry in place only with no obvious swelling and intact seams. The S500, again as quoted, expects an indoor environmental professional where a public health issue exists, naming elderly care or childcare, public buildings and hospitals. The draft shows the first reading date, the building type and any third-party report, and marks what is absent.

Mold changes the closing paper. In New York, an area over 10 square feet calls for a licensed mold professional, and the project is complete when the Mold Assessor issues a written passed clearance report. Texas has a license holder give the owner a certificate of mold remediation within 10 days of finishing, and its licensing agency says only a licensed remediator may give one. Lake Worth Beach's contract has the city provide a post-remediation verification inspection. The draft checks that whatever your job called for is in the file and lists it as missing if it isn't. It writes none of those documents.

Old buildings and the last pages. On a pre-1978 multifamily property or child care space where EPA's lead renovation rule applies, an emergency renovation is excused from some steps but not from cleaning verification or recordkeeping. Cleanfax adds authorization to repair and pay and a statement of satisfaction to the record, and Lake Worth Beach wants pictures before, during and after, submitted with invoices, plus the final disposal location of all debris. Your project manager will look first at rooms on the map with no readings, days with no log, machines with no removal date, an authorization that doesn't match the address or party, and a certificate dated before the last reading.

Commercial water losses
01

20 to 30 closed water losses

Whole closeout files as they left your office, from offices, hotels, schools, healthcare and multifamily buildings, including a few that came back with questions.

02

The daily record behind them

Moisture maps, daily psychrometric readings, technician notes, equipment logs with placement and removal, and the photo set for each loss.

03

The papers that open and close a job

The signed work authorization, change orders, the certificate of completion or statement of satisfaction, any third-party clearance and any disposal records.

NDA first, look-alikes if needed

The NDA comes first. Black out tenant, patient and student names. We never sign in to a drying app, your job management system or a carrier portal, and a file that can't leave your office becomes a look-alike built with your reviewer.

About 30 days on water losses as they close

After your reviewer's yes, water losses that reach closeout get the same assembly for about 30 days.

Your project manager reads and corrects every package and decides when it is complete, then submits it by whatever route your carrier or owner requires.

That live month carries a fixed price agreed before you sign, and a next job, if there is one, is priced separately.

// One hard limit

The AI never decides a building is dry, and it never submits a file.

Whether a material has reached its goal is a call for your technicians and project manager, under the standard or the file they are working to. The proof of concept works on copies of closed files. It never touches your job management system, a carrier portal, a live estimate or a live claim, and it never talks to an adjuster. Your project manager submits every closeout. Standards and rules are named to show what a file has to carry; nothing here is legal, insurance or engineering advice.

Priced per job. You get a range before the proof of concept and a fixed price before you sign.

The range comes on the call, once we know how many water losses you close each month and how many technicians' log formats come in.

// Questions

Closeout questions from project managers

Will the AI say the structure is dry?
No. It shows each reading beside the dry standard your technician recorded and lists the gaps. Deciding a material reached its goal stays with your technicians and project manager, under the standard or the file they are working to.
Our technicians use a drying app and some paper sheets. Does that matter?
Both are fine as exports or photos. We never sign in to the app, and anything the test can't read is listed as unreadable rather than guessed.
Some of our old files have a day missing. Should we send those?
Those are the most useful ones. The draft lists the missing day, room or machine, and your project manager judges how the real file handled it. It never fills in a reading or estimates one.
Our readings come in different units and meter modes. Is that a problem?
It copies each reading as recorded, with its material and meter mode, and never converts between them. The standard or the file sets the goal, and your project manager decides whether the numbers meet it.
We do hospital and school work. Can those files be in the sample?
Yes, if they are closed commercial losses. Black out patient and student names first, and include the owner's infection control or facility requirements so the draft can list what each file should hold.
