NDL warranty paperwork, prepared from the job file and checked before anyone submits it.
NDL warranty paperwork for commercial roofing contractors, tested as a free AI proof of concept on jobs you already finished. AI reads each job's spec, material list and inspection reports, and prepares the manufacturer's documents at every step, from the pre-installation notice to the punch list response. Your warranty coordinator compares the drafts with what your team actually filed.

// The one job
The owner was promised a warranty. The paperwork decides when it arrives.
On a reroof or a new building, the roofing spec usually names a manufacturer's system warranty of a set length, often with no dollar limit on covered repairs. Getting it issued takes paperwork at several points: notice to the manufacturer before work starts, approval of any special conditions before you bid, an inspection request at completion, a punch list corrected and signed, and fees and invoices settled. Someone in your office, often a project coordinator, tracks each step on every job.
In the proof of concept, AI reads the same job files and prepares each document the way your team would have: the notice with the right system, membrane, insulation, attachment and roof area; the inspection request; the punch list response with the photos that prove each fix; and a transfer request where a building changed hands. No document reaches a manufacturer. Your coordinator checks every draft against what was filed and what came back.
step by step
// Where it gets hard
Each manufacturer, its own paperwork
The same step goes by different names. Johns Manville and GAF issue guarantees rather than warranties. Elevate takes a pre-installation notice, or PIN, through its PIN Site, wants a Technical Deviation Form before you bid any job with special conditions, and does not accept special conditions on some of its warranty levels. It calls the request for its warranty inspection a Request for Inspection, abbreviated RFI, which on a roofing job is easy to confuse with a request for information. A draft that files every job the same way, whatever the manufacturer, gets the first step wrong.
The application is a package, with deadlines. Johns Manville's 2026 program guide lists what a guarantee application holds: a specification approval for the project, the asphalt, flashing and construction details, a roof plan, the building owner's contact information, a completion notice, and the final inspection with a signed punch list where there is one. Contractors on its expedited terms send the application two weeks before the job starts, and when a final inspection produces a punch list, the repairs are made and the signed list goes back within 30 days. Its inspections are scheduled within 14, 7 or 3 days of the completion notice, depending on the contractor's program level.
Materials and metal decide what is covered. Carlisle's Golden Seal total system warranty lists what it covers: membrane, flashings, adhesives and sealants, insulation, cover boards, fasteners, plates, fastening bars and insulation adhesives. A leak caused by failing building components, a list that names non-Carlisle metal work, is outside it. Johns Manville has said that unapproved products found at its technical representative's inspection keep a project from its guarantee until they are torn out and replaced. It also wants metal built to SMACNA standards, and its own pre-manufactured edge system on guarantees with a wind rider of 100 mph or more. So the draft checks the delivered material list and the edge metal against the program before an inspection is requested.
The warranty's own dates and conditions. Carlisle's warranty runs from the date Carlisle accepts the installation, and its form carries that start date apart from the completion date. Coverage doesn't apply if the applicator failed to correct every deficiency listed in any Carlisle inspection report, and Carlisle owes nothing while bills for installation, supplies or warranty charges are unpaid. Wind coverage is written as a 3-second peak gust measured 10 meters above ground. Where the spec also calls for an FM Approved assembly, RoofNav shows only current approvals by assembly number, so a number printed at bid time is worth checking again before the file closes.
What your coordinator will check first: the wrong program's form or step, a notice that doesn't match the system installed, materials or metal the program won't cover, punch list items answered without photos of the fix, term and wind entries that differ from the spec, and owner or building details copied wrong onto the warranty.
// What you send
What the test needs from your project team
Finished jobs with an issued warranty
Five to ten jobs, 20 to 30 documents in all, across the manufacturers you install, including at least one where the final inspection came back with a punch list.
The spec and the material list
The roofing section and its warranty paragraph for each job, plus what was ordered and delivered, by brand and product.
What you filed and what came back
Notices, inspection requests, punch lists and your responses, the issued warranty or guarantee, and any correction the manufacturer asked for.
NDA first, look-alikes if needed
Owner names, building addresses and warranty numbers sit in every file, so the NDA comes before anything moves. A file that can't leave the office gets rebuilt as a look-alike job with your coordinator.
// Before it starts
Settled before any job file moves
The owner picks the reviewer and puts the pass mark in writing before the first draft.
- Reviewer
- Named by the owner. Usually the project coordinator or PM who files warranties today.
- Success criteria
- Agreed in writing first, including which misses weigh most
- Submissions
- Made by your team under your applicator account, never by AI
- Price
- A range for the live job, before day one
- NDA
- Signed before any job file is sent

// After a yes
About 30 days on jobs underway
After your coordinator's yes, the job runs for about 30 days on jobs in progress, preparing each warranty step as its date comes up.
A person submits everything. Every notice, inspection request and punch list response is drafted for your coordinator, who reviews it and files it through the manufacturer's own process under your account.
The live job's price is fixed before you sign. Each job after it is priced separately, and monthly support starts once one is live.
// After warranty paperwork
What could come next
- 01Next
Owner turnover packets
The issued warranty, the manufacturer's care and maintenance guide, the roof plan and the installed system's details assembled for the building owner at handover.
- 02Then
Rooftop addition requests
Requests for a manufacturer's written approval before solar, equipment or other additions go on a warranted roof, drafted for your coordinator to send.
- 03After that
Warranty leak write-ups
A leak on a warranted roof written up with photos and dates, ready for the owner's notice to the manufacturer.
// One hard limit
It never submits anything to a manufacturer.
Notices, inspection requests, punch list responses and transfer requests go to the manufacturer from your team, under your authorized or licensed applicator account. The draft prepares them and marks what looks wrong. It never logs in to a manufacturer's portal, signs off that a punch list item is fixed, or tells an owner their roof is covered. Certified payroll stays out too.
Priced per job. You get a range before the proof of concept and a fixed price before you sign.
The range comes on the call, once we know how many warranted roofs you finish in a year and which manufacturers you install.
